General Summary: Assists in the daily operation of support services including housekeeping, reception, meeting set-up, clean up, food orders, errands and supplies. Work cohesively with team members and attorneys to provide efficient support of administrative tasks and superior client service.
Responsibilities:
- Maintaining clean and organized conference rooms and kitchens while exhibiting a high level of detail.
- Working with clients (internal and external, as directed) to select appropriate menus for catering business meetings and social events inside the office.
- Providing services outside the office such as when a Firm event is taking place at an alternate venue.
- Negotiating with caterers and delivery services on favorable rates, in accordance with Firm standards.
- Being accountable for orders placed and use Outlook/RSVP or other means of invitation to avoid over ordering.
- Reviewing all invoices and preparing check requests when applicable.
- Submit all receipts weekly in ChromeRiver.
- Working collaboratively with IT staff and facilities to ensure conference room/meeting experience consistently meets expectations.
- Maintain an adequate stock of supplies for break rooms, kitchens and conference rooms.
- Create an inventory list of regular and specialty supplies used.
- Order regular supplies from Costco, arranging delivery and stock in secure area.
- Order specialty supplies from appropriate vendors.
- Check the daily calendar to ensure scheduled lunches and dinners are ordered according to our events scheduler (MRM).
- Create and maintain menus according to the attorney, staff, and client dietary needs.
- Under direction, prepare and set up for any social events, such as table settings, event props, etc.
- Research and establish relationships with current and new caterers.
- Ensure all conference rooms have beverages and are clean and ready for use.
- Empty trash cans and remove leftover items/equipment from conference rooms after meetings.
- Maintain kitchens in ready order.
- Maintain clean coffee pots and brew fresh coffee each morning.
- Daily loading/unloading of dishwashers.
- Ensure kitchen areas, hallways, conference rooms, and appliances such as microwaves and coffee machines are clean and in proper condition for use.
- Clean refrigerators according to established schedule.
- Work with and maintain good relationships with vendors.
- Provide backup coverage at the Reception Desk and Office Services department as needed.
- Under direction, place maintenance calls for equipment as needed.
Qualifications:
- Event planning or catering experience preferred.
- Must be customer-service oriented and present a professional image.
- Must be proficient in the English language, communicating professionally.
- Able to pay attention to detail, follow procedures and work effectively with others.
- Must be highly organized and manage time well.
- Able to thrive in a fast-paced, dynamic environment.
- Team player and a positive attitude is a must.
- Must meet minimum testing requirements.
- Able to lift and carry up to 35 pounds.
Base salary for this position is $53,000 to $60,000 annually, depending on qualifications and experience.
Supervisor: Firm Facilities Supervisor
Status: Non-Exempt
Hours: Monday through Friday, 9:00- 6:00 p.m. This position depends upon the ability of the employee to work closely with attorneys and staff members during regularly scheduled hours. This position requires the ability to work overtime, which often cannot be predicted.
